Postage Machine – Request for Quotes

Summary
The City of Waupaca is seeking quotes to replace its current postage machine. The existing machine is leased, with the lease concluding in September 2026. The City is open to exploring options for either entering into a new lease or purchasing a machine outright.

Our current model is a Quadient iX-5. The City processes approximately 17,000 items annually through the postage machine, of which approximately 90% are letters and 6% are postcards.

Required Features

  • Ability to support a minimum of 20 accounts
  • User-friendly interface suitable for operation by multiple departments
  • Reporting capabilities
  • Automatic USPS rate and software updates
  • Automatic weight and rate calculation
  • Integrated digital scale
  • Automatic sealing feature with the ability to enable/disable
  • Full maintenance coverage for the duration of the lease (or five years for purchased equipment)

Quote Requirements – Please provide the following:

  • Quotes for machines equipped with both a 5-pound scale and a 10-pound scale
  • Pricing for both lease and outright purchase options
  • For purchase options, clearly specify any additional costs (e.g., maintenance agreements, meter rental fees)
  • Provide information about the machine(s) you propose
  • Lease terms based on a 63-month agreement (or similar duration)
